STRUCTURE: Hourly calendar

An hourly Calendar is part of the schedule. It can comprise one or more hourly templates, made up of worked and/or non-worked periods.

Each resource in a schedule has an hourly calendar.

The hourly calendar also provides visual representation of the different periods in the Schedule view.

E.g.: night hours colored gray.

FUNCTIONAL PREREQUISITE

 

To create an hourly calendar, you must first create the hourly template(s) that constitute(s) it.

CONFIGURATION

 

Creating an hourly calendar

 

To create an hourly calendar, go to the Settings menu > Click on Calendars > Right-click on Hourly calendars > Create Hourly Calendar.

The corresponding part is then enabled:

An hourly calendar has the following characteristics:

Name

Give this hourly calendar a name.

If the multi-language management is activated in the Admin center, it will be possible to fill in a name for this heading in the proposed languages by clicking on the v7_adm_en_parametres_generaux_symbole_multilangue button.

Description

Give the hourly calendar a description. This data is optional.

History

This indicates the creation date and time and the most recent change to the hourly calendar, together with the login of the user who made the change.

This property is updated automatically.

 

Time zone

You can activate the management of multiple time zones in the Admin Centre.

The customer workstation time zone is the default used for entering and displaying hourly events.

You can set a time zone for each hourly calendar.

A resource can therefore have an hourly calendar that follows the selected time zone.
Default hourly templates

For each day of the week, select the hourly template that will be the default if no additional hourly template is added (in the “Specifics” part).

If you are adding specific hourly templates, the default template will be used during periods when the additional template has not been specified.

 

Specific hourly templates

These hourly templates make it possible to modify the calendar so that it stops using the default template for a certain period.

They are defined in another window made up of a list of periods associated with an hourly template, which are placed in order of priority.

To access it, just click on the right-hand button .

The following window opens:

The periods enable you to distribute the hourly templates in time by year, and on a time scale of one day.

You can change the year using the list in the top left corner.

Like for events:

  • Drag-drop the hourly templates on the periods,
  • Lengthen / shorten them using the arrows that appear when you are at the end of the templates in the schedule.

Right-click on an hourly template in the calendar to:

  • Modify the start and/or end dates of the selected template,
  • Repeat the selected template according to a given frequency or number of repetitions,
  • Assign another hourly template for the period,
  • Delete the template for the period,

Confirm creation of the hourly calendar by clicking on the OK button.

Creating a non-worked hourly calendar

 

It is not possible to create an entirely non-worked hourly calendar that every day uses a non-worked hourly template.

To avoid this, the following message appears when you validate the calendar:

Modifying a hourly calendar

 

To modify an hourly calendar you must change the schedule’s architecture template.

Warning

This is an important configuration task and should not be performed without careful consideration.

You can modify a calendar:

  • either in the Global Settings,
  • or (in a Schedule view) by drag-dropping a calendar or period template on a resource at a given date.

However you can cancel the modification of a calendar if VISUAL PLANNING is still open. The events are then put back in their initial positions.

 

Deleting an hourly calendar

 

To delete an hourly calendar you must change the schedule’s architecture template.

Warning

This is an important configuration task and should not be performed without careful consideration.

Deletion of an hourly calendar is irreversible.

To delete a calendar, go to the Settings menu > Click on Calendars > Hourly calendars. Select the appropriate hourly calendar then Right-click > Delete.

You cannot delete the default hourly calendar.

Assigning an hourly calendar to a dimension

Each dimension has a default hourly calendar.

This calendar applies to all the dimension’s resources if no other calendar is defined.

To assign this calendar, you must access the dimension’s settings.

Assigning an hourly calendar to a resource

Each resource has a default hourly calendar,

corresponding to the dimension to which the resource belongs by default.

However you can choose a different calendar for each resource. So you can modify this calendar for a given resource.

There are several ways to do this:

  • Drag’n’Drop,
  • Using the resource properties window,
  • Using the resource’s pop-up menu.

 

Assigning an hourly calendar to a creation rule

Each event follows the hourly calendar of one of its resources.

In this way the event’s creation rule enables you to determine the dimension (and therefore the resource) that represents the hourly calendar.

The resources of the chosen dimension will define the event’s hourly calendar, even if the resource is changed.

Changing time zones

To change the time zone, you must double-click on the time on the bottom right of the Visual Planning screen.

Choose the desired time zone from the proposed list.

Events will be displayed using the schedule’s selected time zone.
